- Carrier credentials — MC number, DOT number, CDL number and class, years of experience
- Equipment information — truck/trailer type, trailer length, weight capacity, team status
- Operational preferences — preferred lanes, states, trip type, load types, rate expectations, availability
- Financial information — W-9 information, banking details for settlement processing
- Insurance documentation — certificate of insurance submitted during onboarding
- Communications — messages sent through the carrier portal
We also collect limited technical data automatically, such as your IP address and browser type, for security and rate limiting purposes.
2. How We Use Your Information
We use your information to:
- Set up and manage your carrier profile
- Match you with freight loads through our broker network
- Communicate load offers, invoices, and settlement information
- Process payments and maintain financial records
- Verify your operating authority and insurance compliance
- Improve and develop the Safe Harbor platform and service
- Comply with legal obligations including tax reporting (W-9/1099)
- Protect against fraud, abuse, and unauthorized access
3. Platform Development
Safe Harbor may use aggregated and anonymized data derived from platform usage — such as load matching patterns, lane demand, and operational trends — to improve, expand, and develop new features of the platform and our service. This development use does not involve your personally identifiable information and does not result in your data being sold or shared with third parties for their independent use.
4. How We Share Your Information
We do not sell your personal data. We share your information only in the following circumstances:
- Freight brokers — as necessary to book and confirm loads on your behalf (limited to what brokers require: carrier authority, insurance, and load-specific details)
- Service providers — third-party tools that support our operations (email, cloud infrastructure, document management) under confidentiality obligations
- Legal requirements — when required by law, court order, or government authority
- Business transfers — in the event of a merger, acquisition, or sale of assets, your data may transfer to the successor entity under the same privacy protections
5. Data Retention
We retain your personal data for as long as your carrier account is active and for a reasonable period afterward to fulfill legal and financial obligations (typically 7 years for tax-related records per IRS requirements). When your data is no longer needed, it is securely deleted or anonymized.
6. Security
We implement industry-standard security measures including encrypted data transmission (HTTPS/TLS), access-controlled cloud infrastructure, rate limiting, and authentication requirements. However, no system is completely secure. We encourage you to use a strong, unique password for any account and to keep your portal access code private.
Your portal access code is personal to you. Do not share it with anyone other than your dispatcher. Safe Harbor will never ask you for your access code via email or phone.
7. Your Rights
You have the right to:
- Access — request a copy of the personal data we hold about you
- Correction — request that inaccurate data be corrected
- Deletion — request deletion of your personal data, subject to legal retention requirements
- Opt out — withdraw consent for non-essential communications at any time

8. California Residents (CCPA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect and sell (we do not sell personal information), the right to delete your personal information, and the right to non-discrimination for exercising your privacy rights. 9. Cookies and Tracking
Our website uses session storage to maintain your carrier portal login session. We do not use tracking cookies for advertising purposes. Third-party scripts on our site (such as Cloudflare analytics) may set their own cookies subject to their own privacy policies.
10. Children's Privacy
Our Service is intended for adults operating commercial motor vehicles. We do not knowingly collect personal information from anyone under the age of 18. If we become aware that we have collected data from a minor, we will delete it promptly.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top and notify active carriers via the portal or email. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
